Information we collect
We may collect information when you browse our website, contact us, request information or complete our Book a Visit form. This may include:
- Your name and contact details, including telephone number and email address.
- Your preferred Little Leaps setting and the type of childcare you are looking for.
- Your child’s name, age group or expected date of birth, proposed start date and childcare requirements.
- Information you choose to share about routines, additional needs, accessibility or other circumstances relevant to arranging a visit.
- Copies of messages, enquiries and communications with our team.
- Basic technical information needed to deliver and protect the website, such as IP address, browser and device information, security logs and cookie choices.
Please only provide information that is relevant to your enquiry. Do not use the website form for urgent safeguarding, medical or emergency matters.
How we use your information
We use personal information to:
- Respond to questions and arrange nursery visits.
- Understand your family’s childcare requirements and discuss availability.
- Keep an appropriate record of enquiries and follow-up conversations.
- Provide requested information about our settings, services, funding and admissions process.
- Operate, maintain, secure and improve the website and booking journey.
- Meet legal, regulatory, safeguarding and record-keeping responsibilities where they apply.
- Establish, exercise or defend legal claims and respond to complaints.
Submitting a visit request does not guarantee a childcare place. If your child later joins Little Leaps, you will receive further information about how nursery and child records are handled.
Our lawful reasons for using information
Depending on the circumstances, we may use personal information because:
- It is necessary to take steps at your request before entering into a childcare agreement, or to perform an agreement with you.
- It supports our legitimate interests in responding to families, managing enquiries, operating our nurseries and protecting our website—where those interests are not overridden by your rights.
- We need to meet a legal or regulatory obligation.
- You have given consent for a particular optional use, such as certain cookies or marketing communications.
- In exceptional circumstances, its use is necessary to protect someone’s vital interests.
If information about health, disability or another sensitive matter is provided, we will only use it where an additional lawful condition applies.
Children’s information
Our public website is intended for parents, carers and other adults. It is not designed for children to submit their own information.
Where you provide information about a child, you should have the authority to do so and provide only what is reasonably needed for the enquiry. Children’s information is treated with particular care. More detailed information about learning records, safeguarding, photographs, Tapestry and day-to-day nursery administration should be provided through Little Leaps’ parent privacy notice.
Book a Visit form
Our Book a Visit page uses a native form built into the Little Leaps website. The website and its managed database are provided through ChatGPT Sites. Information entered into the form is stored for enquiry handling and sent by email to the Little Leaps team so they can respond.
The public booking form does not load a separate third-party form inside the page. Website submissions are stored in the managed website database for up to 30 days, unless a parent or guardian asks for their website submission to be deleted earlier and there is no legal reason to keep it.
Please read our Cookie and Similar Technologies Policy for more information about the website technologies supporting the form.
Where information is processed
OpenAI provides the website and managed database through ChatGPT Sites. OpenAI processes personal information collected by the published website on our behalf under its ChatGPT Sites Data Processing Addendum and may engage the providers identified in its subprocessor list, including providers supporting web hosting and infrastructure.
ChatGPT Sites, including its managed D1 or R2 storage, is not currently covered by a selectable ChatGPT data-residency guarantee. We therefore do not claim that website submissions are stored only in the United Kingdom. Processing may take place in the United Kingdom, the European Economic Area, the United States or other locations used by OpenAI and its approved subprocessors.
For UK personal information transferred internationally, the ChatGPT Sites Data Processing Addendum incorporates the relevant Standard Contractual Clauses as amended by the UK Addendum. Other providers, including Brevo, are assessed under their applicable contractual terms and transfer safeguards.
How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose it was collected, including responding to an enquiry, maintaining appropriate business records and meeting legal, safeguarding, insurance or regulatory requirements.
Website Book a Visit submissions are normally deleted from the website database after 30 days. A parent or guardian may ask for their website submission to be deleted sooner, subject to any legal reason Little Leaps may need to keep related records.
If Little Leaps follows up a website enquiry by email, telephone or another internal system, that later correspondence is managed separately from the website submission. Little Leaps is reviewing the appropriate retention period for unsuccessful enquiries and other follow-up correspondence.
If a family registers for childcare, information may become part of the nursery record and the nursery record retention period will apply.
Your data-protection rights
Depending on the circumstances, you may have the right to ask us for access to your information, correct inaccurate information, delete information, restrict or object to its use, receive certain information in a portable form, or withdraw consent.
These rights are not absolute and legal exceptions may apply. Louise Parfett currently oversees privacy requests. To make a request, contact contact.us@littleleapsdaycare.co.uk. We may need to confirm your identity before responding.
You may also raise a concern with the Information Commissioner’s Office. We would appreciate the opportunity to address your concern first.
Security and policy updates
We use reasonable organisational and technical measures to protect personal information. No online service can promise absolute security, so please take care when deciding what to send electronically.
We may update this policy when our services, providers or legal responsibilities change. The latest version will appear on this page.
